Error- While Sending --> Your mailbox will be full after sending the message. you may not be able to send more messages until your clean up your mailbox to make room for more message. (Exchange Online)

Nowadays, I have seen lots of issues that end user is facing issue while accessing their mailbox (Send/Receive). I was going through folder statistics and found that mailbox discover hold folder shows 99.89 GB. What you think? and what can be issue here?

 

 

 

Before going through the issue, We need to understand the difference between Litigation Hold &  In - Place Hold?

 

Litigation Hold: It used to put a user's entire mailbox on hold for the purpose of retaining it for legal review.

 

In-Place Hold: It's used to put a subset of a user's entire mailbox on hold for the purpose of retaining only certain types of email.

 

How deleted item flow?

 

When you normally delete any of the items from any folder/subfolder, items move to Deleted Item folder. When you delete the items from Deleted Item folder, a mailbox item is moved to the Deletions subfolder in the Recoverable Items folder when a user permanently deletes it, or deletes it from the Deleted Items folder. A deletion policy (which is a retention tag configured with a Delete retention action) also moves items to the Deletions subfolder when the retention period expires. When a user purges an item in the Recoverable Items folder, or when the deleted item retention period expires for an item, it is moved to the Purges subfolder in the Recoverable Items folder and marked for permanent deletion. It will be purged from Exchange the next time the mailbox is processed by the Managed Folder Assistant (MFA).

 

Flow-->

User Deleted items from mailbox (any folder/subfolders) --> Deleted Items --> Permanently Deleted from Deleted Item folder--> It goes to Deletions subfolder in the Recover item folder --> Retention tag get applied to Deletions( Based on what deletion policy configured,i.e Default 14 days). --> It goes to Purges(Folder) --> Next MFA( it get purge from Purge(Folder)).

 

 

How delete item workflow at the time when your mailbox is in litigation hold?

 

When a mailbox is placed on Litigation Hold, items in the Discovery Hold are preserved for the hold duration specified by the Litigation Hold. The hold duration is calculated from the original date an item was received or created, and defines how long items in the Purges folder are held. When the hold duration expires for an item in the Purges subfolder, the item is marked for permanent deletion and will be purged from Exchange the next time the mailbox is processed by the MFA.  If an indefinite hold is placed on a mailbox, items will never be purged from the Purges subfolder.

 

Flow-->

Resolution:

 

 

Please follow below steps to resolve the problem:

 

1. If user is receiving the error(as per heading) while sending an email, Please check mailbox folder statistics:

 

Please use below command to check same:

Get-mailboxfolderstatistics -identity anand-r@*****.com | Select name,foldersize

 

2. Please check below folder items:

3. Please check if user mailbox is in hold, if yes, Please disable it and enforce MFA.

 

Please use below command to check same:

Get-Mailbox -identity anand-r@*****.com | fl *litigation*

 

If LitigationHoldEnabled set to $true, Please use below command to make it false.

 

Set-mailbox -identity anand-r@****.com -litigationholdenabled $false

 

4. Please enforce MFA every 2 hours.

Start-managedfolderassistant -identity anand-r@***.com
